The Opportunity: Operations Coordinator

Reporting directly to the Operations Manager, the Operations Coordinator role involves the supervision of Rental Inventory. This includes the efficient running of the department, with primary focus on inventory management, general administrative duties and ensuring that systems and paperwork relating to the department are processed correctly and efficiently. This role is a central point of communications between the Sales Department, Hotel Departments and the Warehouse. 

The position involves facilitating the smooth operation of the Base Operations Team assisting in all areas of the Base Operations. This position is also responsible for the effective communication flow between venues and base for all Operational considerations.

Core Responsibilities

  • Intermediate working knowledge of audio, visual and lighting equipment
  • Provide creative input for produced events within the venue; could include working with PCO’s, producers, agencies and corporate clients
  • Attend site inspections with sales people in order to assist in developing client proposals
  • Review event proposals in co-ordination with sales, ensure accurate equipment and labour specification
  • Assist OMV or Workforce Coordinators in developing the weekly roster for technicians
  • Publishes show brief information including schedules, floor plans, schematics, crew paperwork
  • Be available after hours on occasions to support internal clients and venue partner
  • Assist with transfer preparation and deliveries
  • Be constantly aware of the tidiness of hotel storage and front of house areas, ensures inventory is secure from theft and/or damage
  • Advise OMV on repair’s required to damaged equipment
  • Advise OMV on the correct mix of equipment kept on site to minimise unnecessary sub-rentals
  • Advise Operations Manager – Venue (OMV) and Director of Technology (DET) on capital expenditure required
  • Assist with equipment prep for shows.
  • Attend operational meetings with venue as required
  • Act as a role model for team members
  • Assist DET and OMV to build and sustain an effective team to meet the business objectives
  • Identifies inductions, training and mentoring required for onsite staff and provides the opportunities for development
  • Ensure staff are compliant with the company’s Clothing and Appearance policy
  • Lead crew when required on an adhoc basis on larger set ups and pack-downs
  • Ensures showcraft is up to company standards
  • Controls expenses effectively
  • Creates an environment of continual improvement
  • Delegate tasks effectively when required
  • Work to the Company’s policies, processes and procedures
  • Manage own work performance
  • Participate in performance reviews
  • Develop own capability for current and future roles
  • Accept coaching and mentoring
  • Cooperate with others to achieve the business outcomes
  • Other duties as required or assigned by managers
  • Maintain the safe and healthy conduct of anyone under your care (including visitors and contractors)
  • Set an example to other employees by actively demonstrating and promoting safe work methods
  • Ensure all incidents, injuries and near misses are reported and followed up
  • Ensure that the working conditions under your control are safe and that potential safety concerns/issues are promptly acted upon
  • Advise your manager if you believe you are unable to meet your obligations for OH&S due to time or resources restrictions
  • Support your Manager and your staff to meet their obligations under the OH&S Policy

What we're looking for in an Operations Coordinator

The successful candidate will be a customer focused individual who demonstrates a high level of understanding the clients needs and being able to recommend solutions.   • Proven leadership experience
  • At least two (2) years of experience in audio-visual equipment operation
  • Trained and proficient in safe manual handling practices
  • Planning ability and time management; able to plan ahead and manage time effectively
  • Excellent organisational skills
  • Strong inter-personal skills
  • Intermediate level computer skills (Word, Excel, R2, Humanforce/Time Target)
  • Excellent oral and written communication skills
  • Highly developed customer service skills
  • Ability to work under pressure
  • Sound decision making skills
  • Maturity to deal with people at all levels of the organisation, including hotel General Managers
  • Effective negotiation skills
  • Strong analytical and problem solving skills
  • Ability to work after hours (when necessary)
  • High level of accuracy and attention to detail
  • Maintain confidentiality at all times
