The Opportunity: Operations Coordinator

Reporting directly to the Operations Manager, the Operations Coordinator role involves the supervision of Rental Inventory. This includes the efficient running of the department, with primary focus on inventory management, general administrative duties and ensuring that systems and paperwork relating to the department are processed correctly and efficiently. This role is a central point of communications between the Sales Department, Hotel Departments and the Warehouse. 

The position involves facilitating the smooth operation of the Base Operations Team assisting in all areas of the Base Operations. This position is also responsible for the effective communication flow between venues and base for all Operational considerations.

Core Responsibilities

  • Maintain awareness of department cost parameters and control operating costs.
  • Ensure labour costings for base crew and warehouse are maintained within budgeted parameters and take corrective action as required.
  • Generate transfers for base from venues and check transfers to ensure equipment availability in conjunction with Equipment Controller
  • Liaise with Operations to rectify late equipment shortages in conjunction with the Equipment Controller
  • In conjunction with the Equipment Controller source and negotiate best price practices with all X-Hire suppliers
  • Co-ordinate the collation and purchasing of consumables in conjunction with the Equipment Controller
  • Assist and trouble shoot crew rostering and allocations as required with Crew Controller
  • Maintain effective communication flow between Venue Operations Coordinators and Base Operations Team
  • Follow up on equipment damage or lost equipment with the relevant departments
  • Assess and give input on the purchase of new equipment
  • Become proficient in other operational areas of the day to day running of the department
  • Provide support to other members of the Operations Team as required
  • Help facilitate the smooth integration of new IT systems to the local operation
  • Oversee Occupational Health and Safety audits in all areas of the business
  • Mentor, train and liaise with Venue Operations Coordinators on a regular basis
  • Undertake regular venue audits to ensure Venue KPI’s are being achieved
  • Assist with venue purchasing and equipment allocation
  • Attend regular operational/crew meetings with venue personnel
  • Ensure the maintenance and cleanliness of all storage areas and equipment within the business
  • Assume responsibility for Day Control duties from 16:30 until 18:00 daily from Monday to Friday
  • As required cover Day Control, Crew Control and Equipment Control daily tasks due to absenteeism
  • Lead crew when required on an ad-hoc basis
  • Seek out opportunities for operational improvements
  • Motivate the team to achieve their objectives

What we're looking for in an Operations Coordinator

The successful candidate will be a customer focused individual who demonstrates a high level of understanding the clients needs and being able to recommend solutions. If you’re passionate about events and looking for career progression in the Audio Visual and Events industry, then we want to hear from you!

  • Previous experience in meetings and events is essential. 
  • Excellent planning, organisational, time management & project management skills.
  • Strong business acumen and financial Management skills.
  • Customer centric and ability to build strong and long-lasting customer relationship. Previous experience in serving high end client is highly regarded.
  • Strong communication skills (verbal and written), negotiation and influencing skills.
  • Ability to manage multiple and competing deadlines.
  • Experience in the hospitality or luxury sector.
  • Qualification in Hospitality or Events is highly regarded.
  • First class customer service skills
  • Team player.
  • Working rights in the country where the role is based.
