For the third year in a row, Encore (formerly Staging Connections) was tasked with providing an educational setting for the 40th Annual Scientific Meeting of the Australian and New Zealand Burns Association (ANZBA), in the beautiful Hilton, Auckland NZ. The international event brought together over 280 burn care leaders, practitioners and allied health members, providing a unique setting for them to meet, learn, share and recognise accomplishments in the burn care field.
ANZBA is a non-profit organisation that represents the peak body of health professionals who specialise in the treatment of burns.
In their 40th year, the theme was Small Burns, Big Challenges, which needed five streams of specialised fields to connect with the attendees across several rooms. Encore provided 6 e-poster screens with laptops and stand sets scattered across the venue, allowing key speakers in medical, scientific, allied health, nursing and multidisciplinary fields to share their knowledge in short sessions, often less than 10 minutes in length.
Encore managed the speaker preparation rooms for the four day meeting, as well as all audio, vision and technical support for the plenary and breakout rooms. Speaker preparation rooms used a cloud solution to connect the speaker rooms to the plenary sessions, so the presentation management ran seamlessly for both presenters and delegates. The team took the time to educate speakers on how to upload their presentations and run through them, as working with a cloud solution was a new process for many of them.
During day 2 to day 4 there were 1 hour sessions the ANZBA wanted to record and keep on file for future use. Staging Connections offered their Event Record product and by using dual projection, we were able to record the sessions with both the video footage and synchronised slides side-by-side with the association’s branding to be filmed for use at a later date. At the end of each day these recordings were downloaded on a convenient USB stick and handed over to the client. Due to the nature of the sessions’ content, these recordings were not streamed.
Using Event Record is a great way to capture the event and use the content for future educational and marketing purposes.
Working with a theme that centres on sensitive information, the team were extremely cautious and aware of what sessions could and couldn’t be recorded and were in constant contact with the client to ensure all sensitive information was handled with care. With five rooms and an exhibition floor being used to accommodate the range of topics and guests, the communication and coordination of the team required a strict timeline and operations plan.
Encore also provided the audio and vision for the Dinner, themed by A Touch of Class as a 1976 disco, to celebrate their 40th birthday. The client encouraged guests to dress the part, making the event a groovy and unique take on the usually fairly formal dinner. It was a funky and exciting end, to acknowledge member achievements and celebrate the advancements of the organisation.
Encore successfully provided a smooth four day conference that addressed the clients need for a professional and educational setting, while keeping up with the swift speaker timelines and demands. Having technicians on hand for any emergency or client request, ensured the momentum of the event kept moving forward.
